Based on our experience of conducting business internationally since 1989, LEHLE SEEDS has adopted the following payment terms.  We believe these terms permit both our domestic and foreign customers a reasonable range of payment options while assuring that we are paid promptly.  Kindly contact our Sales Department if you have questions about these terms or need additional assistance in making your payment choice.

O r d e r i n g ,  C o n f i r m a t i o n   a n d   F u l f i l l m e n t   T i p s

Due to the global recession , LEHLE SEEDS has been understaffed since January of 2009. With reduced staff, it simply takes longer to both confirm and fulfill orders.  As of November 2010, we have begun rehiring needed staff.  We ask our customers to be patient and understanding concerning the situation until we completely restore our staffing needs.  Our preferred and the most timely method of communication with customers is by fax at 1-512-388-3974.  We can also be reached by email at Email to: but if the matter is of importance and of some urgency (e.g. cancel an order), then send us a fax or telephone us (1-512-388-3945).  Formal orders should be submitted using one of our order forms (see below).   

E m a i l   d o c u m e n t s   a s   p d f    f i l e   a t t a c h m e n t s   -   We prefer to receive documents as pdf files attached to emails particularly if the font size is small on the original.  Our server has an upper limit of 5 Mb in size for one or more file attachments.  Pdf file attachments containing sensitive payment information should be encrypted.  Encryption of a pdf file is a simple process and we explain how to do this in the section entitled How to Encrypt an PDF File.

F a x i n g   d o c u m e n t s   -   Fax your documents to us for greatest security of sensitive information and to get our attention.  Our fax number again is 1-512-388-3974 where 1 is the country code for the USA, 512 is the city code for central Texas and 388-3974 is the local number for our dedicated analog (POTS) fax machine.  If you are faxing from overseas, you will need to dial a few numbers in the beginning to gain international access to long-distance.  For help with determining the dialing codes for long distance in your area, we refer you to http://www.countrycallingcodes.com.

O r d e r   w i t h   a n   O r d e r   F o r m

Customers can do many things to help us respond to and fulfill their order more quickly.  Foremost, customers can help themselves get their order fulfilled most quickly by first formally submitting their order using one of our order forms (see below).  These forms provide us the essential information required to fill your order and as such, typically receive the highest priority.  

As money and and possibly credit are involved, our order forms should be prepared with care. Special care should be given to both the billing and shipping addresses to ensure they are accurate. If your payment method is by purchase order, then be sure to send us a copy of your institutional purchase order. We insist on this to ensure we are paid in a timely manner. Also, indicate on your form if you will be paying by wire transfer so we will know to
include our bank information on your final invoice.

Avoid submitting your order as a plain text email.  Instead, use your time more productively to complete one of our order forms below.

You can view either of these with your web browser and print out a paper copy
for faxing or 'print' to a freeware pdf file maker utility that allows you to save your

K n o w   h o w   w e   p r e f e r   t o  b e   p a i d

The second most important thing a customer can to do to help us fulfill his order quickly is to indicate how he, she or them will pay for what they have ordered.  By far, the two most preferred payment methods for LEHLE SEEDS are payment by credit card or PayPal.com.  After that it is purchase orders.  Faxing sensitive payment information on our order form to our dedicated fax machine connected to plain-old telephone land lines is very secure. This is because it is both an encrypted transmission and it is conducted on an analog network separate from the digital internet.   If you wish to delay your order unnecessarily, then fail to indicate your payment method.

B e   s m a r t   a b o u t   V A T  &  C u s t o m s   C l e a r a n c e

There are still a few more things you can do to help move your order through the system.  If you are overseas, remember to provide your VAT tax identification number if you know your institution requires it on the invoice.  If you are overseas, consider providing LEHLE SEEDS your own FedEx account. While in most cases, we cannot pay the freight charges for your order using your Fedex account, FedEx does provide us the option of billing a recipient's FedEx account separately for just the Customs duties, tax and related fees due. If you do not specify your own customs broker, then FedEx will provide this service for you automatically, and prepay any customs duties, tax or related fees incurred by your shipment for you. As such, they will not release your shipment to you until they are reimbursed for these charges and paid for their custom brokerage fees. If you provide us your FedEx account number on your order form, all customs duties and related charges will be charged automatically to your account and your shipment will be delivered promptly without delay. If you want to use your own customs broker, then don't forget to provide their name, address, contact information and account number if you know it. There is a comments section on the second page of our orders form which provides you space to write additional instructions about how you wish us to proceed concerning your order.

P l a n   a h e a d   s o   y o u   d o n ' t  n e e d   u r g e n t

Finally, we encourage customers to plan ahead.  Kindly order seeds and growing systems well in advance of expected use so you will  have them when you need them.  We strongly recommend not waiting until the last minute to place an order for supplies that are produced by a plant or are imported from overseas.  If your order is "URGENT", your best strategy is to make regular (but not excessive) inquiries as to the progress of your order.  This is the best action you can take to keep us focused on your pressing need.  

M i n i m u m   O r d e r ,   N e t   3 0   &   N e w   A c c o u n t s

A handling charge of $15.00 to will be added to seed orders totaling less than $25.00.  A minimum charge of $15.00 will also be added to any order which involves special requests for handling not typical or required for most other orders.   All prices are US dollars (USD).

Unless otherwise indicated, terms are net 30 days.  Prepayment is required for new accounts until a credit history is established.

C r e d i t    C a r d   P a y m e n t 

Payment by credit card is preferred.  LEHLE SEEDS accepts payment through VISA,  MasterCard and American Express credit cards .  If given a choice, always fax or telephone your sensitive payment information.  Send such information by email only if it is encrypted with a password and then only if it is not possible or convenient to fax or telephone instead.  

H o w   t o   E n c r y p t   a   P D F  F i l e  

If you must email sensitive information in a pdf file, we recommend the following simple method to encrypt your pdf file so it can only be opened with a password.

First, create a standard pdf file that contains your sensitive information. Many commercial word processing programs allow you to save your file in the pdf format. However, even a simple text document can be saved as a pdf file if you "print" it to any of a number of freeware pdf file maker utilities you have installed on your computer (e.g. www.dopdf.com).  Once you have created a pdf file which contains your sensitive information, you need to encrypt it so it can only be opened with a "USER" password.

A standard pdf file containing sensitive information can be securely encrypted with a "USER" password using the freeware, open-source program "PDFTK Builder" written by Angus Johnson (www.angusj.com/pdftkb).  The password and encrypted pdf can then be sent securely to your recipient in separate emails spaced several minutes or longer apart. It would be, however, much safer to provide the password by some alternative means, such as via a fax or telephone call. You can also use unique information already known to both parties but
which is otherwise not publicly accessible, e.g. the last four digits of the recipient's cell phone number, or the  customer ID number, etc.

LEHLE SEEDS has no difficulty receiving encrypted email attachments, but other email servers may flag this as spam and filter it off to a spam folder. So when we send an email with an encrypted pdf attachment, we usually also send a simple plain text message at the same time notifying the recipient we just sent them an email with an encrypted attachment and ask them to let us know if they do not receive the email with the pdf attachment.  If we have not already done so, we have the option of providing the password to the encrypted pdf file in this simple text email as well.

We use "PDFTK Builder" frequently ourselves without problems.  It has some other useful tools for working with pdf files and the price is right.  Again, given a choice, always transmit sensitive information by fax or telephone rather than by encrypted email due to their greater safety.

P a y P a l    P a y m e n t

Payment can also be made, using PayPal, to our account name which is the same as our primary order email address.  We have been using PayPal for several years and think it is a very good method of transferring and receiving small sums of money internationally between two parties that are basically strangers. In our opinion, it is a simpler, more economical and more secure solution than credit cards, wire transfers or bank checks for paying vendors relatively small sums internationally.  Basically, with a PayPal account, you can send funds to or receive funds from any other person or firm who also have their own PayPal account.  The receiver of the funds pays all the fees of the transaction.  The sender of funds pays only what is owed.  The sender can add notes to indicate what the transfer is for, e.g. an invoice number.  The transfer is fast and very secure as no sensitive information is exchanged.  PayPal.com is there to resolve problems should they ever occur.  To send and receive funds by PayPal you first have to establish your own PaPal account at PayPal.com.  This requires that you have a regular bank account from which you can move funds electronically back and forth to your Paypal account.   For accounting purposes, once established, a PayPal account  is handled like any other cash account.  Try it.  We think that once you understand how PayPal.com works, you will see its advantages for yourself.  PayPal.com is owned by Ebay.com, the California-based internet auction company.

P u r c h a s e   O r d e r s

Payment by purchase order is a preferred method of payment.  All customers using this method of payment are required to transmit a copy of the official purchase order produced by your institution to us.  This document is a formal legal promise by the institution to pay us if we deliver the goods.   So if you are using this method of payment, you need to provide us with a copy.  We prefer to receive copies of purchase orders as pdf file email attachments.  The reason is the font size is small on many purchase orders and they do not fax well.

While a purchase order typically provides all the information needed to fill your order,  in most instances, it will not substitute for our order form.  The reason is that a purchase order typically does not indicate the actual method of payment.  In reality, we need to know this before we prepare an invoice for your order.  Thus, even if you are using a purchase order, we require that you submit one of our order forms as well.   You can use the order form to clarify how the purchase order will be paid by discussing this with your financial office beforehand.

U. S.   B a n k   C h e c k   P a y m e n t

Payment by checks, international demand drafts or similar instruments is acceptable as long as the check is 1) denominated in U.S. dollars in the "FULL AMOUNT", 2)  by a named MEMBER bank (i.e. the Drawee) of the U.S. Federal Reserve System and 3) is using an account number that is printed on the check and which is ACCESSIBLE by ALL other MEMBER banks in the U.S. Federal Reserve System and 4) that is electronically readable with Magnetic Ink Character Recognition (MICR) coding of the MEMBER  Bank's account number and routing number along the bottom edge of the check. 

IMPORTANT NOTICE: ALL CHECKS OR OTHER INSTRUMENTS WHICH DO NOT MEET THESE 4 REQUIREMENTS ARE NOT NEGOTIABLE IN THE US BANKING SYSTEM AND WILL BE RETURNED.  LEHLE SEEDS DOES NOT AND WILL NOT SEND NON-CONFORMING CHECKS TO "COLLECTIONS" FOR PROCESSING.   In addition to returning non-conforming checks, LEHLE SEEDS will invoice customers a $75.00 USD Returned Check Service (RCS) fee.

To avoid problems, we recommend that you seek the services of a large international bank to prepare checks that are negotiable in the U.S.  Even so, it is very important that you clarify two things with the bank when you order the check.  First, it is important that you make it clear that it is your understanding that the amount owed LEHLE SEEDS is the "FULL AMOUNT" that will appear on the final check cut for LEHLE SEEDS.  Use that term "FULL AMOUNT" in your communications with the bank.  Secondly, it is also important that you make it clear that it is your understanding that the ACCOUNT NUMBER PRINTED ON THE CHECK is actually ACCESSIBLE to ALL other MEMBER banks of the US Federal Reserve System.  The key phrase is "ACCESSIBLE to ALL other MEMBER banks".   The answer to both questions should be "Yes".  If not, we suggest you seek the services of another bank to ensure you are issued a check which is negotiable in the U.S. banking system.

P o s t a l   M o n e y   O r d e r   &   W e s t e r n   U n i o n   P a y m e n t s

Also acceptable is payment by international postal money order or payment via a Western Union provider.  Very few of our customers use either of these methods to pay us, but they are an option.

W i r e   T r a n s f e r   P a y m e n t

LEHLE SEEDS prefers not to use wire transfer as a method of payment.  We are aware that wire transfers are very popular in Europe.  Unfortunately, overseas wire transfers to us typically involve two or more fixed-rate wire transfer fees by banks along the way, which have in some instances removed nearly 20% of the wire amount.  We have agonized about this for years, but finally concluded that the only way to be paid in full what is owed us, was to charge customers a fee to accept their wire transfer. Effective November 1, 2010, for those customers who wish to pay by wire transfer,  LEHLE SEEDS  charges a Wire Transfer Processing (WTP) fee of $45.00 USD to accept payment by wire transfer. Customers choosing the wire transfer payment method are reminded to 1) indicate your  intent to pay by wire transfer when you submit your order so we will know to include our bank information on your final invoice  and 2) reference your invoice number on your wire transfer.

S h i p p i n g   M e t h o d s

LEHLE SEEDS will select the best method and within that choice will seek the most economical service.  Domestic orders for seeds and other products are shipped via UPS ground service.  International orders are generally shipped by FedEx and occasionally UPS.   All shipments will be insured.  Actual shipping cost plus any insurance fee will be charged.   LEHLE SEEDS rarely ships orders via postal mail unless there is no other alternative (e.g. seeds to Japan).  All orders are shipped F.O.B. Round Rock, TX, USA.

S p e c i a l   S h i p p i n g   F e e s

N o n - U . S .   D e s t i n a t i o n s   -  Effective January 1, 2010, LEHLE SEEDS instituted a new Customs Documentation Preparation (CDP) fee. The CDP fee will be a minimum of $35.00 USD and will be applied to all orders shipped to destinations outside the U.S.

S i l w e t   L - 7 7   T r a n s p o r t   -   Effective  September 27, 2010, LEHLE SEEDS instituted, for all Silwet L-77 (cat. no. VIS-01 and VIS-30) orders, a new Excepted Quantities Processing (EQP) fee  of $15.00 USD for preparing and applying "Dangerous Goods in Excepted Quantities" labeling to air-transport shipment containers.   All domestic and international air-transport of Silwet L-77 requires "Dangerous Goods in Excepted Quantities" (EQP)  labeling.  Such labeling is not required for domestic shipments under D.O.T regulation 49 CFR 173.4.  During moderate weather conditions, domestic shipments of Silwet L-77, within the continental USA, will be shipped by Ground Service.  Silwet L-77 shipments to Hawaii and Alaska will be by Fedex air-transport.   However, freezing weather conditions during the winter months mandates that most domestic shipments of Silwet L-77 will be by FedEx 2nd Day Air service for better protection against the cold.  LEHLE SEEDS ships Silwet-77 exclusively by air-transport to all destinations outside the continental USA by FedEx International Economy Service. 

P h y t o s a n i t a r y   C e r t i f i c a t e s   f o r   S e e d    O r d e r s

A USDA-issued phytosanitary certificate may be required for some international seed orders at a cost to the customer of $200.00 USD.  LEHLE currently is not offering the service of obtaining phytosanitary certificates (PC) for those locations which require it.  This is due to insufficient staffing.   For this reason, LEHLE SEEDS is not currently shipping seeds of any kind to those locations which require a PC for Customs clearance.  See our Special Notice page for the current status of this service.  Some countries (e.g. Canada) require that the receiver obtain a Permit to Import Seeds.  

A l l   S e e d    O r d e r s   A r e   F i n a l 

It is LEHLE SEEDS's policy that we do not resell seeds which have been previously shipped.  Thus, all seed sales are final in the sense that LEHLE SEEDS will not request return of invoiced seed shipments in the vast majority of cases since the seeds cannot be resold.  It does not matter whether the package has been opened or not.  

Therefore, it is important that customers take the time to confirm that their seeds orders are correct before they submit their order, because once shipped, the seeds have lost their commercial value to LEHLE SEEDS.

To expand on this, if  LEHLE SEEDS is at fault (e.g. filled an order incorrectly), then of course, LEHLE SEEDS will credit the customer's invoice for the cost of the seeds and the freight to deliver them, but will not request return of the seeds.  If the customer is at fault (e.g. ordered the wrong seeds or simply changed their mind upon receipt of the seeds), then the customer will retain the seeds and make payment in full on the invoice for the delivered seeds and all other itemized charges related to same.   

C u s t o m   D u t i e s ,  T a x   a n d   O t h e r   R e l a t e d   F e e s

International customers are responsible for payment of any and all customs duties,  taxes and other related fees.  LEHLE SEEDS prefers that overseas customers utilize the services of a designated Customs Broker (CB) and provide CB contact information at the time the order is placed.  If no CB is identified, FEDEX will automatically assume this role for the customer.  If the customer has their own FEDEX account,  LEHLE SEEDS prefers that customers provide their FEDEX account number at the time the order is placed so customs duties and other fees can automatically be billed to their account.  If the customer does not have a FEDEX account, then FEDEX will expect payment of all customs duties at the time of delivery. 

A R A S Y S T E M   O r d e r i n g

LEHLE SEEDS discontinued distributing the ARASYSTEM in 2009.  All ARASYSTEM orders should now be placed with the manufacturer Beta Tech bvba which is headquartered in Ghent (Gent) Belgium (www.arasystem.com).

C u s t o m   M u t a t i o n   S e r v i c e s

A $500 USD retainer is required to schedule custom projects which are billed monthly thereafter.  Custom project shipment will not occur before the account balance is settled. Conducting custom seed mutations is a service which is not always available, e.g. during periods of understaffing.  See our Special Notice page for the current status of this service.
